Handling of personal information

Japan Deep Learning Association (hereinafter referred to as the “Association”)has posted this Privacy Policy to respect the privacy of companies, partnercompanies, organizations, etc. (hereinafter referred to as “User Companies”)that use the services, tests, etc. (hereinafter referred to as “Services”) providedin compliance with this Privacy Policy, as well as those who use the Services(hereinafter referred to as “User” or “you”). The privacy of Users shall berespected, and the management of Users’ personal information shall be handledwith the utmost care.

Personal information to be collected

The Association shall collect the following information about individuals(hereinafter referred to as “personal information”).

A. Profile information such as name, date of birth, gender, and occupation
B. Contact information such as e-mail address, telephone number, address, etc.
C. Information regarding means of payment such as credit card information,bank account information and electronic money information
D. Information regarding access status and usage, such as referrers, IPaddresses, server access logs, cookies (*1), ADIDs, IDFAs, and other identifiers

A cookie is a text file that is stored on a User’s computer when the Uservisits our site. When you visit our site, cookies collect data about your visits,browsing and other activities on our site. It enables our site to remember theUser’s actions and preferences (such as login, language, font size and otherdisplay preferences) over a period of time to improve the User’s convenience.You can also disable cookies through your browser settings. Disabling thecookies will not affect the use of our site.

Purpose of use of personal information

The purpose of use of personal information is as set forth below. We will not usepersonal information for purposes other than those listed below.

A. Personal authentication of Users and provision of the Services to Users
B. Distribution and sending of communications, newsletters, and various noticesin connection with the use of the Services
C. Provision of personal information to companies using the Services based onthe User’s consent and application
D. Provision and improvement of the Services based on attribute information,terminal information, location information, activity history, etc.
E. Provision of personal information to User Companies based on the User’sconsent and application.
G. Payment of rewards by the Association
H. Confirmation and response to opinions and inquiries regarding the Services(personal information may be provided to third parties to whom the Associationhas outsourced operations related to the Services)
I. Investigation of various applications for commercial or diversion purposes,multiple applications, transfer of rights, registration of false information, etc.,which are prohibited by the Terms of Use, etc., and to confirm the details ofsuch applications based on such investigations
J. Updating or changing of personal information registered with the Association
K. Application for or taking of examinations administered by the Association,and charging of examination fees
L. Application for or acceptance of applications for events administered by theAssociation, and contacting the winners of lotteries conducted in connectionwith such events
M. Recruitment activities by the Association
N. Solicitation of persons who have passed the examinations conducted by theAssociation for the activities of the Association

Voluntary nature of personal information provision

The Association asks Users to provide the personal information necessary to achieve the purpose of use. You do not necessarily have to provide all of the requested information, but if you do not provide certain information, you may not be able to use the Services.

Provision of personal information to third parties

In principle, the Association will not provide personal information to third parties without the consent of the User. However, in the following cases, personal information may be provided without the User’s consent to the extent such disclosure will not violate the relevant laws and regulations:

A. When it is determined that the User will cause disadvantage to a third party
B. When it is especially necessary to improve public health or promote the sound growth of children, and it is difficult to obtain the consent of the User
C. When it is necessary to cooperate with a national agency, local government, or an individual or entity engaged by them in executing affairs prescribed by law, and the obtaining of the consent of the User may hinder the execution of such affairs
D. When a court, public prosecutor’s office, police department, or an organization with similar authority requests the disclosure of personal information
E. When the User explicitly requests the disclosure or provision of personal information to a third party
F. When disclosure or provision of personal information is permitted by law
G. When personal information is provided in connection with the succession of business due to a merger or other reasons and is handled within the scope of the purpose of use prior to succession

Outsourcing of personal information processing

The Association may outsource part or all of its personal information handling operations. The Association shall be responsible for the handling of personal information by the subcontractor.

Use of statistically processed data

Based on the personal information provided, the Association may create statistical data that is processed so that individual cannot be identified. The Association may use statistical data that cannot be used to identify individuals without any restrictions.

Changes in personal information, etc.

In principle, only the User himself/herself can request notification of the “purpose of use of personal information,” disclosure, correction, addition, or deletion, suspension of use, and suspension of provision of registered personal information to third parties (hereinafter referred to as “change of personal information, etc.”). Please contact the personal information management representative stated below for specific instructions. However, we may not be able to accept your request for change of personal information, etc., in the following cases.

A. When there is a risk of harm to the life, body, property, or other rights or interests of the User or a third party;
B. When there is a risk of significant hindrance to the proper implementation of the Services;
C. When it would violate other laws and regulations;

When such change of personal information, etc., requires excessive cost or in cases where the changes of personal information, etc., is difficult and alternative measures are necessary to protect the rights and interests of Users, the Association may not accept requests for change of personal information, etc.
In addition, the original documents used to obtain personal information, such as postcards, are kept for a certain period of time and then disposed of, so requests for the original documents themselves are not acceptable.

Restrictions on the collection of sensitive personal information

In principle, the Association will not collect personal information that includes the information set forth below. However, this does not apply in cases where the User provides the information himself/herself.

A. Matters related to ideology, beliefs, and religion;
B. Matters related to race, ethnicity, family origin, legal domicile (excluding information related to the prefecture in which the user resides), physical or mental disabilities, criminal records, and other matters that may cause social discrimination;
C. Matters related to the right of workers to organize, collective bargaining, and other collective action activities;
D. Matters related to participation in mass demonstrations, exercise of the right to petition, and other political rights; and
E. Health care and sex life.

Identity verification

When registering as a member for each Web service, when a member uses the service, etc., or when responding to a request for disclosure, correction, deletion, or suspension of use of personal information, the Association will use information that can identify the individual (name, address, telephone number, date of birth, e-mail address, membership number, password, etc.) to confirm the identity of the individual. However, the Association shall not be held responsible if information that can identify an individual is obtained and used by someone other than the individual.

Amendments to the Privacy Policy

The Association reserves the right to amend its privacy policy at any time, except as otherwise provided by law.
